- 1) Booking and Payment
- Submitting a booking request does not guarantee your event until payment is submitted and confirmation is sent by Role Player.
- By booking, you agree to pay the final package total based on confirmed player count and package tier.
- Payment is due within 6 hours of confirmation. Unpaid bookings will be automatically released and offered to other parties.
- If Role Player confirmation is sent after 5:00 PM, the 6-hour payment window will begin at 7:00 AM the following morning.
- Role Player uses PayPal for payment processing – After initial conversation and confirmation of your event details, a PayPal payment link will be sent to the email on file.
- 2) Player Count and Package Accuracy
- Package Pricing is based on the final number of participants.
- If the player count exceeds the selected package tier, pricing will be adjusted accordingly.
- Additional players beyond 10 are billed at $30 per player (maximum of 15 players).
- Under reporting players:
- If the number of players is found to be less than the number stated during the booking, the original booking price remains unchanged.
- Over reporting players:
- For Hero Tier bookings (up to 6 players), if 7 or more players show up, the booking will be automatically upgraded to the Fellowship Package Pricing ($350), and the additional charge will be due before the game can continue.
- For Fellowship Tier bookings (up to 9 players), if 10 or more players show up, the booking price will be automatically upgraded to the Adventurer Package Pricing ($400+).
- We reserve the right to allow the on-site GM to cancel the event without refund if they feel uncomfortable running the game for more than the reported players on booking.
- Any adjustments or cancellations due to player count changes must be addressed at least 72 hours prior to the event’s start as these games are curated for each group and need preparation time.
- 3) Changes to Booking:
- Changes to date, time, location, or player count must be requested at least 48 hours in advance and are not guaranteed.
- We will do our best to accommodate changes, but adjustments may affect pricing and availability.
- 4) Cancellation Policy
- Cancellation requests more than 96 hours (four full days) before the event incur no charge and will get a full refund minus any transaction fees.
- Cancellations within 96 hours of the event will receive a 75% refund minus any transaction fees.
- Cancellations within 72 hours of the event will receive a 50% refund minus any transaction fees.
- 5) Host Responsibilities
- The host agrees to provide:
- Adequate table space and seating for all players.
- A safe and appropriate environment for gameplay.
- Adult supervision for minors as appropriate.
- 6) Safety & Conduct
- Role Player reserves the right to end an event without refund if participants engage in unsafe, disruptive, or inappropriate behavior.
- 7) Travel & Access
- Travel within the High Point/Piedmont Triad area is included.
- Events outside of the High Point service area may incur additional travel fees.
- 8) Nonprofit Mission
- Role Player is a 501(c)(3) nonprofit. All bookings directly support our mission and free storytelling programs for youth and community partners.
